TechFlow is looking for a Payroll Specialist who is responsible for all payroll functions. This includes performing a range of general clerical, payroll, accounting and bookkeeping support functions. To include efficient maintenance and processing of employee records and payroll transactions and accurately issuing pay to employees by calculating earnings and deductions in accordance with established practices and guidelines.
The Payroll Specialist is responsible for processing payroll runs, wage and benefit changes, reconciling payroll related accounts, producing reporting to support audits and ad hoc requests, answering employee questions and troubleshooting issues. This position reviews and inputs data from time sheets, production records, or individual time cards to a computerized payroll system and reviews payroll software output to ensure accuracy and compliance with company policies and regulatory standards. Must have the ability to work within deadlines and knowledge of double-entry bookkeeping principles. Relies on instructions and pre-established guidelines to perform the functions of the job.

Key Responsibilities:

  • All payroll functions including prevailing wage and workers’ comp reports and audits.
  • Process payroll for approximately 200 employees using a databased system.
  • Post and reconcile payroll transactions in the general ledger, including employee taxes and benefits.
  • Process complex timesheets with multiple allocations and pay rates.
  • Research and resolve payroll and timesheet related issues.
  • Maintain payroll database and file payroll records in a timely manner.
  • Conduct appropriate reviews and reconciliations to ensure data integrity.
  • Assist in annual audits and other regularly required audits.
  • Cross-train with other department positions to ensure seamless operation of accounting functions.
  • Work as part of the Accounting/Finance team to provide complete and accurate organization support.
  • Performing other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work.

Minimum Requirements:

  • 2+ years of general payroll experience
  • Effective oral and written communication skills. English, spelling, grammar and punctuation required to produce and proofread simple written documents.
  • Effective technical, interpersonal, organizational and telephone etiquette skills.
  • Familiarity with multi-state payroll laws.
  • Accuracy is imperative.
  • Demonstrated proficiency in MS Office applications (Word, Excel, and Outlook).
  • Detail-oriented and highly organized, with a high degree of personal integrity and mature judgment and must be able to maintain confidentiality of sensitive information at all times.
  • Demonstrated data management skills, including the ability to enter data accurately, produce reports, and create Excel spreadsheets.
  • Ability to work on multiple and concurrent tasks with constant interruptions in a busy office environment.
  • Excellent time management skills and the ability to prioritize multiple tasks in order to meet deadlines.
  • Ability to work independently with minimal supervision.
  • Ability to effectively communicate with all levels of management, staff, and clients.
  • Requires excellent organizational, analytical, and problem-solving skills as well as excellent verbal and written communication skills.
  • Considerable knowledge of office practices, procedures, equipment, and standard clerical techniques.
  • Present professional appearance and demeanor.
  • Type; operate a personal computer, with emphasis on accuracy, mental alertness, and neatness.
  • Understand and adhere to policies and procedures as set by EMI Services.
  • Promote and maintain a positive image of EMI Services to our customers, vendors, employees, and the community.
  • Maintain confidentiality of information related to EMI Services, our customers, vendors and employees.
  • Be adaptable and flexible in work situations. Establish priorities to ensure completion of tasks in a timely manner.
  • Polite, professional, and courteous to others. Demonstrate a cooperative and positive attitude.
  • Inform the Accounting Manager/ CFO of all pertinent problems, irregularities, and other important information within area of responsibility.
  • Communication Skills
  • Ability to use correct English grammar, spelling, and sentence structure in written and verbal communications. Additional qualifications in this area are:
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one situations to customers and coworkers.
  • Mathematical Skills
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to use an adding machine.
  • Reasoning Ability
  • Ability to apply common sense understanding to carry out detailed instructions. Ability to deal with problems involving a few concrete variables in standardized situations. This position uses some subject-matter knowledge and judgment to complete assignments consisting of numerous steps varying in nature and sequence.
  • Mental Demands
  • The mental characteristics necessary to competently perform this job include the need to be resourceful and use problem solving, the frequent need to use memory and concentration, and the continuous need to be alert and precise.

Education Requirements:

  • Desire an Associates/Bachelor’s Degree in Accounting or related field of study. May be substituted for 3-5 years’ experience.

Certification, License, Registration Requirements:

  • Valid driver’s license is required.

Physical Demands:

  • Carrying objects/boxes/print-outs short distances.
  • Extensive work with a personal computer.
  • May require lifting and moving as much as 25 pounds with assistance as needed.
  • Sedentary work; sitting most of the time.
  • While performing the duties of this job, the employee is regularly required to sit, use hands, reach with hands and arms, talk, hear, stand, twist, stoop, reach, squat, and walk. Performing duties may require prolonged periods of sitting, bending, squatting, standing, twisting, or stooping.

Desired Qualifications:

  • Experience with collective bargaining agreements is a plus.
  • Experience with Service Contract Act and Davis Bacon and Related Acts is a plus.
  • Demonstrated proficiency in computerized accounting system Deltek Cospoint is a plus.
